Producing the walks programme

The Mole Valley walks programme is planned on a quarterly basis, and the Walks Programme Coordinator will prompt when planning begins for the subsequent quarter's programme. However, offers of walks are welcome at any time. The notes below give an outline of the timetable we work to, and the information we need from leaders in order to be able to enter walks on to the online system hosted by Ramblers: GWEM (Group Walks and Events Manager). This enables people to find our walks through the main Ramblers "Walk finder" search facility, as well as displaying them on our own website and in a printable table.

There is a specific format we have to follow when uploading the walks, but rather than giving you a template to follow, it would be helpful if you could please provide your walk details in the text of an email and not as an attachment to This email address is being protected from spambots. Walk Details

The information needed for each walk is:

  • Date in this format: Sat 12/01/2019

  • Title: make sure this is informative and inviting. This is what appears on the Home page of the website, so it needs to encourage visitors to click for more details. The default is Circular so no need to include that in the title; likewise if a walk is around 6 miles it can be assumed it is a half day walk. However do please mention if it is whole day, afternoon, linear, or some social or other special occasion.

  • Description (200 character limit), with a brief outline of route, any special features, an idea of hilliness or any other challenges, and mention if a picnic lunch needs bringing. It is assumed that all morning walks allow for a coffee break, for which people bring their own provisions.

  • Grid reference for start. Please take this from (or check it tallies with that on) the MVR Car Parks map. Do not submit postcodes, as the system will insert them automatically.

  • Name of start place, with any special directions needed. If using a car park that has not been used before, please check on its suitability for the number of cars that might be coming and mention if any charges apply.

  • Start time, using 24-hour clock

  • Distance in miles, to the nearest half mile, rounding up if necessary.

  • Walk grade; this will usually be Moderate; the alternatives are Leisurely or Strenuous. The terminology is limited by the Ramblers software, but we have adapted the definitions to suit the local terrain and help walkers in knowing what to expect on a Mole Valley walk as follows:

    • Leisurely – 3 to 5 miles, relatively flat easy walk, at a gentle pace, without undue number of stiles or steep gradients.

    • Moderate – our typical walks, may include some hills and stiles, usually around 6 miles over 3 hours for a half day walk (including coffee break), and 8-11 miles for a longer walk into the afternoon.

    • Strenuous – for those who have an above average level of fitness to cope with a faster pace or more challenging terrain. You can expect one or more of the following: steeper or more prolonged hills, brisker pace, longer length (>12 miles), lots of stiles.

This means that, for example, a 6-8 mile walk may be graded as Strenuous if it is either particularly hilly or brisker paced. The grading is not just to do with the length of walk. We appreciate that the word Strenuous may seem over the top but it is the only term currently available on GWEM. Please use it for any brisk paced or more challenging walk.

  • Leader: forename and surname initial (with mobile number if leading for first time). Phone numbers get inserted automatically if you have led before.

There is no need to include finish times for walks. These are hard to predict and will depend upon the numbers walking, the terrain and the weather conditions. But as a general rule you can estimate a walking speed of 2 to 2.5 mph for Moderate walks, and 3 mph for brisker paced walks. In planning walks please allow for the expectation from our members that a walk that starts at 10:00 will be finished by 13:00 or 13:15 pm unless otherwise specified.


The timetable for production of the programme is as follows:

  • Book your walk dates as early as you wish, and as soon as possible after an invitation email comes round. Make a note of the dates you have offered, and the date by which details must be submitted.

  • Submit walk details before this deadline so as to allow the full programme to be collated ready for uploading on to GWEM. If one person is late it delays the whole process.

  • Be ready to check details of walks as prompted when they have been uploaded on to GWEM. Errors can occur and we rely on leaders to check their walks carefully, especially starting points.

  • Later walks can be added to GWEM at any time, or amendments made to published walks.
